Application Settings Take Precedence over Printer Driver Settings for Tray Selection and Other Paper Setup Settings

What you will see

  • Software printer driver settings are ignored when printing from certain applications.
  • Printer hardware settings are ignored when printing from certain applications.
  • Paper is pulled from the wrong tray.
  • You see one of the following printer messages:
    • "Load [Tray#][Type][Size]"*
    • "Load [Tray#][Type][Size]"*
    • "Load [Tray#][Type][Size]"*
  • A printed page followed by an incorrect size or type message on the printer operator panel – e.g., 34 Short Paper, 34 Incorrect Media.
  • Poor quality output results, depending on the type of media.
  • Page orientation is incorrect, e.g., portrait instead of landscape or vice versa.

Explanation and Suggested Remedy

Productivity software applications often have their own page and printer preferences that override many settings in the driver and printer.

Paper Tray Selection Example

Application...Overrides...Which overrides...

Any application that has its own Paper or Page Setup (i.e., paper type, paper size, and paper source)...

Any equivalent driver setting...Any printer setting relating to tray selection.

* Some printer settings, such as Configure MP (multipurpose feeder), can override application and driver settings. This is an exception to the rule and will be explained later in this document.

Paper Size

What to try...
  1. Confirm that theapplication'sPaper Sizesetting equals theprinter's paper size setting for the user-specified application tray source.

  2. Print or view the Printer/Menu Settings Page to confirm the tray size settings for the preferred paper tray source.

If...Then...
Printers/trays equipped with AutoSize* sense...You may need to adjust paper guides on tray to make sure the printer is identifying the proper paper size.
Printers/trays not equipped with AutoSize* sense...You will need to manually adjust the paper size through the printer's Paper menu. Alternatively, press GO button on the printer to force the paper size setting on the printer.

*What is AutoSize sense?

A series fingers (tabs, knobs, or projections) on a paper tray arrange themselves in a certain configuration upon locking the paper-size guide inside the tray to a specific paper size.

When the tray is then inserted into the drawer, these fingers activate switches that automatically set the printer paper size.

Summary of what to expect with incorrect paper sizes::

  • Paper will be pulled from a incorrect or different tray than expected.
  • A "Load [Tray#][Type][Size]" message displayed on the printer operator panel.
  • An incorrectly printed page results, followed by a "34 Short Paper" error.
  • Printers lacking an LCD panel will produce a series of LED flashing-light sequences that reveal the error.
  • Other unexpected printer messages that vary based on printer model.
Paper Source
Application is set to...And, the driver isset to...Then...

A source different from the application

Paper SIZE and TYPE settings on the printer will have to be identical to those specified in the application to prevent 'load' messages on the printer.

Paper TypeWhat to try...
  1. Check the application settings for paper type; e.g., transparencies, envelopes, card stock, etc.

  2. Check the printer driver's paper type.

  3. Check the printer (tray) paper type.

About this setting:

  • Paper Type frequently overlooked for paper tray issues.
  • PLAIN paper type is most common for general printing if using a normal weight/type paper.
  • Since many applications do not have a paper type setting, the printer driver often generates and controls the Paper Type printer commands.
  • Incorrect paper type selection may lead to incorrect tray selection.
  • Incorrect paper type selection may lead to a "Load [Tray#][Type][Size]" message.
  • Poor quality output depending on the type of media
  • A"34 Incorrect Media" or similar message
  • Printers lacking an LCD panel will produce a series of LED flashing light sequences that reveal the error.
It is important to check this setting since a certain number of applications still use it as an output variable.

Driver settings should be checked if:

  • The printer is still pulling paper from the wrong tray.
  • The application does not contain a Page Setup option.
  • You are spooling a print job from another source (e.g., DOS*) through a Windows driver.
Second in priority to the application's page setup, verify the driver's Source, Size and Type settings under the Paper tab within Printing Preferences or Properties**.* DOS or other applications may or may not generate their own commands for source, size and type. ** Win 95, 98, ME

Options

  • Tray # – Dependent on printer model and # of installed or purchased trays.
  • MP Feeder – Not to be confused with Manual.
  • Manual – Only used if Configure MP is set to manual, or you want to be prompted to hit Go before every page printed.
  • Automatically Select or Auto Selectthe recommended setting. Specific nomenclature depends on printer model type and driver revision.
  • Manual envelope – Used in conjunction with installed envelope feeder option or MP feeder. Works like manual mode.

Size

  • See the driver drop-down list for paper size selections.
    NOTE:
    Some drivers refer to Paper Size as Form Type or Form Size.
  • For details on creating and selecting a custom size, xref_HO734_xref.
    NOTE:
    The created name given to the custom size/form will have to be selected in the driver and application.

Type

  • See the driver drop-down list for paper type selections. NOTE: Older drivers only displayed paper types if you selected Form SourceBy Type.
  • Type selection is very important for special media from a quality and hardware perspective.

NOTE:
The actualappearance of the Paper Menu will vary by printer model.

Default Source

  • This setting is often ignored if the application or driver is sending a source selection command.
  • This setting is important in non-Windows environments when the host is sending raw ASCII or other data types that do not have appended source selection commands.
  • This setting can be important if AutoSelect or Automatically Select is the default Paper Source in the driver and application.


NOTE:
Depending on the application and driver variables, source commands are not always binding. If a job is requesting a particular paper size and type, and the specified source does not have the requested size and type, but another source does–under certain circumstances the printer will pick from that other tray.

Tray # Size

See the 'Application' and 'Driver' topicsabove.

NOTE:If you cannot find Page Setup or know for sure that the application lacks this feature, look at the driver settings for Paper Size. See 'Driver: Source, Size and Type' above.

Tray Type

  • This setting should match the application or driver Media/Paper Type.
  • This setting will usually trigger a "Load" message if the proper Type is not selected on the printer.
  • This setting, ifat Plain with matching paper sizes, triggers Tray Linking.


NOTE:
Multiple trays with the same Size and Type activate the Tray Linking feature, which eliminates user intervention in large print jobs by automatically switching to the next available tray containing paper. xref_HO528_xref for more details. In the illustration above, Trays 2, 3 and 5 are linked.

Configure MP (multipurpose feeder)

NOTE:
Understanding Configure MP settings helps you to comprehend the Manual Size/Type setting concept in the illustration above. The MP feeder cannot automatically detect Paper Sizes or Types and will post a combined audible and visual alert message if improperly set. Press Go should this occur. If it continues, confirm the size and type settings for the MP feeder. (

Definition:

MP feeder
is a tray, Manual is an MP feeder mode.)

  • This setting should be set to Cassette if the feeder is being used as a standard tray.
  • Manual – Prompt the user to press GO before every page printed, regardless of application or driver settings.
  • First – All print jobs will be redirected to the MP feeder first regardless of application or driver settings.
