Troubleshooting an 'E-mail Transmission Failure' or 'E-mail Set up Incomplete' message

Issue description

During the configuration of e-mail or when attempting to send an e-mail, you see one of the following messages:

  • Setup Wizard during software installation (Inkjet and some lasers only).

    Control panel configuration via the Wrench Icon > Settings > E-mail Settings > E-mail Setup > SMTP Setup

E‑mail Transmission Failure

    Regardless of configuration method, anytime you attempt to send an e-mail.

Solution

Configuration Requirements

The E-mail Setup Wizard attempts to populate the following settings based solely on the e-mail address you have provided.

  • SMTP Server address
  • SMTP Port
  • Use SSL/TLS or Anonymous
  • Authentication settings

Note:  Lexmark cannot guarantee that this function works in every instance since E-mail Service Providers (ESPs) occasionally change their configuration requirements without notice. Lexmark is not responsible for obtaining these values.

SMTP Server Address

The name or address of your ESP's server.

The port number for the SMTP server.

Use SSL/TLS

Secure Socket Layer/Transport Layer Security is a requirement of many ESPs to prevent intrusion by encrypting e-mail messages.

Disabled, Negotiate, Required

Authentication settings

Often if SSL/TLS is in use, then you will at least have to select Login/Plain for this setting.

No Authentication, Login/Plain, NTLM

Username/id

Your full name (full e-mail address); if this does not work, use only the Userid of account.

Password required to access your e-mail.

Certificate Authority should only be used if this Extended validation is being used by your ESP.

E‑Mail Setup Wizard Configuration Steps

  1. Click Back and verify the SMTP Server Address. Other common terms used for this value:

    • Mail server address
    • Primary SMTP Gateway address
    • E‑Mail Domain address
  2. Click Finish and configure from the printer’s web page or control panel.

Web Page Configuration Steps

  1. Identify and verify the configuration settings for your E‑mail Service Provider on the Embedded Web Server. Click here for verification instructions.

  2. Update the information fields, Submit, and test the e‑mail function again.

  3. Remove the checkmark from Validate CA certificate if using SSL/TLS authentication. Repeat the process as necessary and test the e‑mail function again.

    Note:  Worded values are case-sensitive and other symbols or characters are required.

Control Panel Configuration Steps

For touch screen‑equipped devices only.

  1. Press the Wrench Icon.

  2. Scroll down and select E‑mail Setup.

  3. Press SMTP Setup.

  4. Press Server and enter the correct SMTP Server Address using the keypad. Press the green checkmark button on the lower right‑hand section of the screen to confirm.

  5. Press Port and enter the correct SMTP Server Port number. Press Accept.

  6. Press Use SSL/TLS, and depending on your E‑mail Service Provider’s recommendation, click Disable, Negotiate, or Required. Press Accept.

  7. Press Sender’s Name, and enter optional name of sender. Press Accept.

  8. Press Authentication.

    • If you selected Negotiate or Required for SSL/TLS setting, select Plain and press Accept.
    • Otherwise, select None or NTLM and press Accept.
  9. Press User Name, and enter full user name or UserID depending on your ESP’s configuration requirements. Press Accept.

  10. Press Password, and enter your e‑mail login password. Press Accept.

  11. Press Test SMTP Settings and observe result. If the ‘E‑mail has not been set up’ message reappears, some value(s) were not entered properly. Contact your ESP or try another E‑mail account.
