Before Enrolling Printers

To ensure the successful enrollment of printers:

  • Make sure the printer to be enrolled supports the Agent to be used.
    • See the "Supported Lexmark Models" topic in this document
  • If a firewall or proxy are used, added hostnames to the Allow List(s)
  • See the "Firewalls and Proxies" topic in this document.
  • If the printer was previously used at another customer site:
    • Unenroll the printer from its current organization in the CFM portal.
    • Perform an “Out of Service Erase”. [Optional]
      • This should be performed the first time a printer is being enrolled with a customer.
      • Any configuration settings or customer data related to a prior installation will be removed.
  • Make sure all printers are on-line and in the Ready state with no unresolved errors, such as paper jams or incorrect email configuration.
  • Printer firmware is updated to the latest recommended version.
    • See the “Support Lexmark Models" topic in this document
  • Printer permissions are set correctly.
    • See the “User accounts and printer permissions” topic in this document.
  • Printer login credentials for secured printers are available.
    • See the “User accounts and printer permissions” topic in this document.
  • Printer SNMP configurations are available.
    • When using the Fleet Agent, SNMP v3 must be enabled on eTask version 5 and higher printers.
      • SNMP v3 is enabled on these models by default.
      • SNMP v3 does not have to be configured, just enabled.
  • Firewall, DHCP and DNS settings are correct.
  • Proxy settings are correct, if necessary in your environment.
  • The date and time are configured correctly preferably using a network time protocol server.
  • If possible, enrollment should be done during off hours when the printers are not being used.
    • Firmware and configuration deployments from CFM following enrollment may briefly take the printer off-line.

Firewalls

If a firewall is used, these URLs must be added to the firewall’s whitelist. All Cloud communication are over port 443.

Discovery Criteria and Settings

Discovery Criteria

Transfer management of discovered printers...

Enabling this option will transfer all discovered printers that are already enrolled under another agent, to this Fleet Agent. Care should be taken to prevent overlapping Discovery Criteria between Fleet Agent. Overlapping criteria will cause printers to switch between Fleet Agents.

If this option is not enabled, discovered printers that are already enrolled under another agent will remain enrolled under their current agent.

Search Type

Select the type of discovery to be executed.

  • Search local network

to find all printers on your local network.

Set the level of detail provided when a log is run for this fleet agent.

Network utilization delay

The Network utilization delay sets the delay between subnet searches during printer discovery. A setting below 250ms (default) may impact network performance. It is not recommended that it be set to zero.

Install a Fleet Agent

Fleet Agent Installation Package

Once a Fleet Agent has been created, it must be installed on a server or hosted computer within the customer's network. The Fleet Agent installation package can be downloaded or emailed from the CFM portal.

NOTE:

The size of the install package is approximately 140MB.

Fleet Activation Code

An activation code is required during setup on the Fleet Agent. The activation code is obtained by clicking the "Generate activation code" link. This code registers the installed Fleet Agent with this Fleet Agent definition. A Fleet Agent definition can only be associated with a single Fleet Agent installation. If the activation code is not used within 72 hours, a new activation code must be generated.

Fleet Agent Installation and Activation

Run the Fleet Agent installation package on a server or hosted computer within the customer's network. Enter the activation code for this Fleet Agent. Optionally, a password can be applied the restrict access to the Fleet Agent.

Once activated, the Fleet Agent details page in the CFM portal will show its status as "Communicating".

Using a proxy with the Fleet Agent

If a proxy is required, the Fleet Agent can be set up to use a proxy. The proxy can be set during Fleet Agent activation on the Activation page or after activation by clicking the gear icon.

If the proxy configuration must be changed after the Fleet Agent is installed,

  • Launch a browser and go to https://localhost:[portnumber]

    • Replace [portnumber] with the port used when the Fleet Agent was installed.

    • The default port is 80.

  • Click the gear icon in the top right corner to access the Proxy Configuration dialog.

Discovering and Enrolling Printers

Printer discovery and enrollment is initiated from the Fleet Agent details page by clicking the "Discover & Enroll Printers" button. This places a "Discover printers" task on the Fleet Agent's task queue. Discovered and enrolled printers will be shown on the Printer page in the CFM portal.

Printers Not Being Discovered

A MIB Walk can be used to determine why a printer is not being discovered. A MIB Walk log can be obtained from the CFM protal on the Agents > Fleet Agents page tab page of printers managed by a Fleet Agent. To initiate a MIB Walk.

  • Navigate to the Agents > Fleet Agents page.

  • Either click the Logs navigation link on the right side of the page or scroll to the Logs section.

  • Enter the IP address of the printer.

  • Click the MIB Walk Request button.

Retrieve the MIB Walk log and submit to the Lexmark Technical Support Center.

Managing an Installed Fleet Agent

Editing a Fleet Agent Definition

Click the Edit Agent button on the Agent Details page to change the Fleet Agent definition.

NOTE:

Changes made to definition of an existing Fleet Agent definition take effect immediately.

If the SNMP Profile of this Fleet Agent definition is changed or deleted, all printers associated with that profile will be unenrolled and will no longer be discovered by this Fleet Agent.

Updating a Fleet Agent

If an update is available for the Fleet Agent executable or for the Printer Support Library used by the Fleet Agent, it will be shown on the Fleet Agents (Preview) page. Updates can be pushed to a Fleet Agent by selecting a Fleet Agent and then selecting the update to perform from the Update menu.

Deactivating a Fleet Agent

Deactivating a Fleet Agent will stop it from collecting printer data and its ability to manage its enrolled printers. Printers associated with the deactivated Fleet Agent will be unenrolled. The Fleet Agent definition is not deleted. Device data associated with the deactivated Fleet Agent will also be retained.

Restoring a Deactivated Fleet Agent

A deactivated Fleet Agent can be restored by generating a new Activation Code from the Fleet Agent details page in the CFM portal and applying it to Fleet Agent executable.

Once the Fleet Agent has been reactivated, the "Discover & Enroll Printers" task must be initiated from the CFM portal to restore the data collection and printer management functions of the Fleet Agent.

Deleting a Fleet Agent

If a Fleet Agent is no longer required within customer location it should be deleted. Deleting a Fleet Agent will remove that Fleet Agent definition from the CFM portal and unenroll any printers associated with the deleted Fleet Agent. The Fleet Agent executable running in the customer's environment will not be uninstalled. Uninstalling the Fleet Agent executable must be done manually.

Restoring a Deleted Fleet Agent

A deleted Fleet Agent cannot be restored. A new Fleet Agent definition must be created. Once the new definition has been created, the new activation code for the new definition can be applied to Fleet Agent executable, if it was not manually uninstalled. If the Fleet Agent executable was uninstalled, refer to the previous "Install a Fleet Agent" section.

Updating Printer Credentials

The credentials used by Agents to access printer information can be updated from the CFM portal. This can be done either to each printer individually or to multiple printers at once.

  1. On the Printers page, select one or more printers.

  2. Expand the Printer menu and select Update agent access credential.

  3. Enter the credential to be applied and click Update Credentials.

    • The credentials entered will be applied to all selected printers.
    • The credentials used are for an existing administrative accont on the printer.
    • These credentials are not used for the Printer Configuration Agent's account on eTask 5 printers.

Home Screen Customization

A printer's home screen can be customized in the CFM portal from the Printer Details page. Either click the Home Screen navigation link on the right side of the page or scroll to the Home Screen section.

Note:  The latest versions of printer firmware, Printer Configuration Agent, and Fleet Agent are required.

The current home configuration can be:

  • Viewed,
  • Customized,
  • or Restored to the factory default.

Viewing the current home screen configuration

Click View home screen to show the printer's current home screen configuration.

Customizing the home screen configuration

Clicking Customize allows home screen icons to be added, moved, deleted or reset to their factory default configuration.

  • Select an item then use the "action" controls to customize the home screen layout
  • Click Save Home Screen update printer's home screen configuration.

Note:  Some items cannot be deleted from the home screen.

Restoring the factory default home screen configuration

Clicking Restore returns the home screen to the default factory configuration.

Reconciling data from printers managed by a Fleet Agent

In some cases, printer data shown in the CFM portal may be missing or different from what can be seen on Lexmark and 3rd-party printers. The Fleet Agent uses the printer’s SNMP MIB interface to retrieve printer data. The available data depends upon the manufacturer’s implementation.

A MIB Walk can be used to determine what printer information is available in the printer’s MIB. A MIB Walk log can be obtained from the CFM portal on the Printer Details page of printers managed by a Fleet Agent. To initiate a MIB Walk.

  • Navigate to the printer’s Printer Details page.

  • Either click the Logs navigation link on the right side of the page or scroll to the Logs section.

  • Click the MIB Walk Request button.

  • Retrieve the MIB Walk log and submit to the Lexmark Technical Support Center along with the CFM portal information and device statistics from the printer showing the appropriate counts.
