Creating a Scan Profile via the Printer's Embedded Web Server

Issue description

This article provides the prerequisites and steps required to create a Scan Profile via the printer's Embedded Web Server (EWS).

Before you begin

Make sure that the following prerequisites are met:

  • Computer and printer are connected to the same network.
  • Java is at version 5 Update 51 or higher.
  • Browser is up to date (for example, Internet Explorer, Mozilla FireFox, Safari, or Google Chrome
  • Pop‑ups are allowed
  • NPAPI plug‑ins are enabled
  • Printer firmware is up to date
  • Printer IP address is added on the Java Exception Site List
  • Proxy exceptions are added if a network proxy is set

Check Java version:

  1. Open any web browser.

  2. Go to the Java website to verify the Java version.

  3. Click Agree and Continue.

    Note:  If authentication is required, fill out user name and password, and then click OK.

  4. If this pop‑up displays, click Run.

    Note:  The page automatically refreshes and detects your browser’s Java version.

  5. Ensure you have Java version 7 Update 51 or higher. If not, click Download Java Now to obtain the latest version.

Check Browser version:

  1. Open your preferred web browser.

  2. Navigate to your browser menu ‑ typically found on the upper right corner of the page.

  3. Click About and make sure that the version is up to date. Here is an example from Google Chrome.

Allow Pop‑ups

By default, most web browsers prevent pop‑ups from automatically appearing and cluttering your screen. When a pop‑up blocker is on and a pop‑up is blocked, the address bar shows this icon.

Navigate to your web browser’s privacy settings and find options to allow sites to show pop ups.

On Google Chrome, the path follows: Settings > Show advanced settings > Privacy > Content Settings > Pop‑ups > Allow all sites to show pop‑ups > Done.

Enable NPAPI plug‑ins:

  1. Launch your preferred web browser.

  2. Type chrome://flags/#enable-npapi on the address bar, and then press Enter.

  3. Click the Enable link under the Enable NPAPI flag.

  4. Click Relaunch Now found on the bottom-left corner of the page.

Check Firmware version:

Perform either of the following options:

  • Using the printer Control Panel – On the printer, press Menu > Reports > Menu Settings Page.
  • Using the EWS – Access the printer's EWS, go to Reports > Device Settings.

Note:  The Base is the firmware of the device. Click here for more information.

Add printer IP on Java Exception Site List:

For Windows systems:

  1. Click the Start button, and then type configure java.

  2. Click Configure Java.

  3. Click the Security tab.

  4. Click Edit Site List, and then click Add.

  5. Type http://<printer's IP address>, and then click Add.

  6. If this pop-up displays, click Continue, and then click OK.

  7. The printer's IP address shows on the Exception Site List.

For Macintosh systems:

  1. Click the Apple symbol, and then go to System Preferences.

  2. Click Java found on the bottom-left corner of the menu.

  3. Click the Security tab.

  4. Click Edit Site List, and then click Add.

  5. Type http://<printer's IP address>, and then click Add.

  6. If this pop-up displays, click Continue, and then click OK.

  7. The printer's IP address shows on the Exception Site List.

Add Proxy Exceptions:

HTTP protocol uses port 80, while HTTPS protocol uses port 443. Please contact your system administrators to modify proxy settings.

Solution

Scan Profile can only be accessed via the printer's EWS.

  1. Open the printer’s EWS using any web browsers (e.g., Internet Explorer, Google Chrome, Mozilla Firefox, etc.)

  2. Click Scan Profile, and then click Create Scan Profile. If this pop-up displays, click Run.

  3. Wait for the Scan Profile window to load. This is window is also known as the Java Listener window.

  4. Specify the wanted Scan Settings or any of the following Quick Setup options, and then click Next.

    Note:  For Color MFPs, use Color(24 bit); while for Black and White MFPs, use Gray(8 bit).

  5. Specify the scan location, file name, and then type an updated User Name and Scan Name (e.g., from username to username-test). Click here to view sample image.

    Note:  Enable the "Multiple use profile" option to prevent port closure and preserve the profile for continued use. You can use this option in any of the following scenarios:

    • The number of pages to scan exceeds the number of pages allowed by the Auto Document Feeder (ADF).
    • You do not want to recreate a scan profile multiple times.
    • You need groups of scanned pages to be indexed by number (e.g., Checks_1.pdf, Checks_2.pdf, Checks_3.pdf).

  6. Click Submit for the following window to display.

  7. Perform the instructions specified in Step 3 to complete the scan process.

    1. Go to the printer, and then load the documents.

    2. Press # key followed by the shortcut number indicated on the Scan Profile window.

    3. Press Start.

    4. Click Launch to view the file or navigate to the specified scan location.

Procedure for Older MFPs:

The procedure is similar, but there are slight differences:

  1. Open the printer’s EWS using any web browsers.

  2. Click Create Scan Profiles.

  3. Click PC Scan Profiles.

  4. Specify the Scan Settings, and then click Next.

  5. Specify the scan location and file name.

  6. Assign a Profile Name. This name appears on the MFP control panel.

  7. Click Submit to save the profile on the MFP. A receiving image window appears on the desktop to indicate that the computer is waiting to receive the scan output file.

    Warning—Potential Damage:  Do not close the dialog box, or you will not be able to complete your scan.

  8. Go to the printer, and then load the documents.

  9. On the MFP control panel, press the Fax/Scan mode button until SCAN > PROFILE appears on the screen.

  10. Press Menu > until the chosen scan profile name shows on the screen.

  11. Press Go/Send to start scanning.

  12. Return to the PC when the job is finished. The job status window changes to Image Received.

  13. Once the scan output file appears in the list, select the file and launch an application to open.

Java Listener behavior:

  • The Scan Profile (shortcut) disappears after one scan job, unless you close the Java listener window or you did not enable Multiple use profile during profile creation.
  • Older versions of Sun's Java (JRE-Java Runtime Environment/JVM-Java Virtual Machine) may pose problems.
  • The random TCP/IP port range lies somewhere between 9751 and 12000.
  • An operating system or third-party firewall may prevent successful communication.
  • If Create or Create Scan Profile does not appear, a problem with Java is indicated. Clear the History and the Temp directories, and then click Refresh (or press Ctrl+F5) within your browser application.
  • Scan failure may also indicate a pending or broken profile or link. Go to Settings > Manage Shortcuts > Manage Profile Shortcuts via the EWS to check for this possibility. Delete and recreate the scan to PC profile as necessary.
  • Note:  You can minimize the listener window if necessary to prevent accidental closure.
