How to Create and Select Custom Size Forms or Paper Sizes in Windows

Overview

If paper is loaded into the a tray and the size-sliders (paper guides) will not lock into place, then it is likely that custom-size paper is being used. This will lead to load messages and a whole host of printing anomalies.

The steps below outline the creation of a custom size form and how it needs to be selected in both driver and application.

The end result is that:

  • Driver understands page dimensions and will send proper print commands to accurately position data on the page.
  • Application will recognize the same custom form and allow user to edit the page based on those defined dimensions.

Step 1: Creating and selecting custom-size (page) from application or driver

Choose where to create the custom size form.

  • From from application...
    • From Control Panel > Devices and Printers...
    • *
    • Windows 10 metro path: Settings > Devices > Printersor Scanners.
  1. Select File or Print.

    • Right-click on the defaultdriver icon (PCL or PS). You may call this the print queue.
  2. Select Printer Properties, Preferences, Properties, or equivalent application setting.

    • Select Printing Preferences.

Click on the Paper/Finishingtab. IMPORTANT! If a form has already been created, you can skip steps 3-4, and simply select the custom size (e.g. my test - driver) from the list of Paper sizes.Seestep 5.

Click on Manage Custom Sizes, and then New.

Under New Custom Paper Size:

  • Provide an easily identifiable Name (Form Name).
  • Enter W X L dimensions.
  • Click OK to save the new name and page size.

Under the same Paper/Finishing tab and under Paper size:

  • Scroll down the list of paper sizes and select the newly created page size.
  • Under Paper type, select the type of paper,i.e.,envelope.

Click OK or Apply.

ADDITIONAL NOTES:

  • Printer drivers do not always have the same selectable options. Also look for Layout > Advanced ora Paper tab.
  • In Step 5, make sure your Paper Type is accurate for the type of media that you are printing.
  • In Step 2, you may see a Paper tab option. If this is the case, you will have to configure a custom size using the optional 'Server Properties' method described below.

Optional Step 1: Custom form creation via 'Server Properties'

Open Printers & Faxes, Devices & Printers,or Printers & Scanners. Look under Control Panel or Settings>Devices.

Click File, and then Print server properties.

Or, click on the default driver once and locate the appearance of 'Print server properties' at the top or right side of the screen.

Note:  What you click on and what you see depends on the operating system version and administrator privileges. Right-click in the window and try selecting Run as Administrator

Select Create a new form.

Next to Form Name:, enter a name for the form (e.g. my test).

Enter the required paper dimensions (W x H), and click Save Form.

Click Ok, and always before you print, follow steps 5 and 6 underCreating and selecting custom-size (page) from application or driver.

Open the application.

Click Page Setup**in the File menu.

Click on the Paper tab and scroll down the Paper Size list.

Again, select the Form Name created in Step 1. (e.g. my test - application)

Click OK.
