How to utilize 'Send me a Copy' function for email while using internal account authentication

Overview

This article outlines the steps to configure the email function “Send me a Copy” using Internal Account Authentication on the following Lexmark multifunction printers: X64x, X77x, X78x, X85x, X94x.

Set-up Procedure

NOTE: Internal accounts are limited to 8000 bytes of storage.

Example: If you use an 8-character username, an 8-character password, and a 16-character e-mail address, you could have roughly 250 user accounts.

Create Internal Accounts using the printer's Embedded Web Server (EWS). To do this:

a. Open your internet browser and enter the IP address of the printer.

b. Navigate to Configuration > Security > Internal Account Management.

Enter the required data and click the Add button (see examplein screenshot below). Repeat this process for as many users as required, keeping in mind the device limitations from the note above.

From EWS, click Configuration > Security.

Set Authentication Method to Internal and click Submit button (see examplein screenshot below).

From EWS, click Configuration > Email/FTP Settings > Email Server Setup.

Locate ‘Send me a Copy’. Select the desired setting (for example, “Always On”) and click Submit.

From EWS, navigate Configuration > Security > Function Access.

For Email Access, select “Require User ID and Password” and then click Submit (see Example in screenshot below).

Note: Under Function Access for Email, there are other choices besides “Require User ID and Password”. Select the best choice for your environment.

From the actual MFP User Interface (Touchscreen), select the Email Icon.

You will be prompted to enter Username and Password created for the Internal Account(s). Enter the required credentials.

From the Email Screen, you will notice the following options in top right-hand corner a) Log Out and b) Send me a Copy.

  • For a) click Log Out to end the user session.
  • For b) note that “Send me a Copy” will always be checked with Always On.

Using the On by Default or Off by Default settings will allow the logged-in user to either select or de-select Send me a Copy.

Using Always Off will disable the feature for a logged-in user.
